Our client, a private Consultant based in London, is recruiting for a Medical Secretary / PA to provide administrative support to their busy clinic. The role will primarily be remote working, but you will need the flexibility to be able to work approximately 1 Saturday a month in clinic based in  Marylebone, London.

This is a fantastic opportunity for someone who has worked within the medical field, who can  commit to giving the necessary support needed to the consultant and his team.

You will part of a team working with two other secretaries and as well as supporting the medical  consultants, you will assist each other to ensure that the clinic runs smoothly.

This is a permanent full-time role and the hours are 9am – 5.30pm.

Medical Secretary / PA Responsibilities to include:

  • Book patients into clinic
  • Liaise with patients/clinicians/investigation centres to ensure that any letters/investigations  are available in clinic
  • Book investigations at the clinic or other centres (as appropriate)
  • Bill patients/healthcare providers/others for appointments and chase payments in a timely  fashion
  • Respond to telephone and email queries in a timely fashion
  • Process letters including the checking and formatting of letters returned from the dictation  service and liaise with the doctor to get them corrected
  • Ensure QuickBooks is maintained and up-to-date
  • Order supplies needed in clinics ensuring that adequate supplies are available at all times
  • Participate in the organising and running of courses
  • Ensure that the patient information sheets are kept up-to-date and available at all times in clinic
  • Ensure that the system - Carebit is kept up-to-date
  • Liaise with Nurses to organise weekend clinics
  • Organise academic and clinical meetings
  • Bill for academic meetings and activities
  • Maintain the doctor’s diary (for clinical and academic activities)
  • Organise travel arrangements e.g., booking flights and train tickets
  • Other ad hoc duties as required

About you:

  • Excellent organisational, interpersonal skills, verbal and written communication skills with  the ability to work with people from various backgrounds with discretion and empathy
  • A genuine commitment and passion for delivering outstanding levels of patient care and  customer service
  • A track record of working in a busy working environment and dealing with a high volume of  patient enquiries
  • Highly organised, methodical and efficient with an excellent eye for detail
  • A calm, professional and warm telephone manner
  • The ideal candidate will have experience working as a private Medical Secretary and experience of using Carebit
